A Structure for Effective Meetings
Define Roles
Have the group select members to perform the following roles:
a. Timekeeper—keeps track of time for each phase of the meeting and announces when time is running out.
b. Minute Taker—writes out key decisions and action points and distributes them as soon as possible after the meeting.
c. Scribe—writes information on the board or flip chart.
d. Facilitator—leads the team to accomplish the objectives. Initially the manager can perform this role. As the team begins to take more joint responsibility, this role can be rotated between team members.
Touching Base
This is an opportunity for each team member to briefly share relevant experiences that are happening for him or her personally.
