Printing Views to Report Project Information

A picture is worth a thousand words—and more than a thousand numbers in a view table. In Project, you can print views like Gantt Chart, Task Usage, or Tracking Gantt view to include in the reports you produce for stakeholders, management, and other audiences. (The box on Creating a PDF or XPS Document explains another way to create a document from a view.) Here’s how you set up a view to print the way you want:

  1. Display the view you want and make sure the information is presented the way you want it when you print.

    For example, apply the table you want and, if necessary, insert, remove, or rearrange the columns in the table. For a view with a table and a timescale, drag the vertical divider so you see the amount of table and timescale you want. Adjust the timescale to show the time periods you want.

  2. Choose File→Print.

    The Print page of Backstage view appears. Printer settings are on the left side, and a preview of the view appears on the right side.

  3. As you would for any other printout, choose the printer, number of copies, page range you want to print, paper orientation, and paper size.

    If you change the paper orientation or size, the preview changes to show what the printout looks like.

  4. For views that include a timescale, in the Dates boxes, choose the date range you want to display.

    Fill in the first box with the earliest date in the date range and the second box with the latest date in the range.

  5. To set up the printed page, click the Page Setup ...
